GUIDELINES FOR FACULTY FILE ACCESS

Medical faculty files are confidential yet they must be accessible to a variety of individuals for clearly defined purposes.  The following guidelines define limits of accessibility.

A.  Unlimited Access

  • Associate Dean of the BioMed Faculty
  • Associate Dean of Medicine (Clinical Faculty)
  • Executive Dean of Medicine (Administrative)
  • Dean of Medicine and Biological Sciences
  • Dean of Faculty
  • President
  • Provost

B. Limited Access

  • Department Chair.  Access restricted to the files of members of their Department.
  • Chiefs of Service.  Access restricted to the files of  members of that Chief’s service.
  • University Division Heads. Access restricted to the files of members of their University Division.
  • Members of the Biomedical Faculty Council.  Access restricted to the file of any faculty member under consideration for appointment, reappointment or promotion.
  • Members of the Committee on Medical Faculty Appointments. Access restricted to the file of any faculty member under consideration for appointment, reappointment or promotion.
  • University General Counsel. Access restricted to the files of faculty members who have entered an appeal or grievance against a formal faculty action.
  • Faculty Members.  Access restricted to teaching evaluations. Letters of recommendation may be reviewed with author’s permission.
